At Ominigo, we take the privacy of our customers and their customers seriously. This Privacy Policy explains what information we collect, how we use it, how we protect it, and what choices you have when using Ominigo.

2. Information We Collect

The information we collect depends on how you use Ominigo.

Account information

When you create an Ominigo account, we may collect information such as your name, email address, business information, account credentials and other information required to provide the service.

Business information

You may provide information about your business, including services, prices, staff, opening hours, availability, business descriptions and booking rules. This information is used to configure your Ominigo AI assistant.

WhatsApp information

When you connect WhatsApp to Ominigo, we store WhatsApp messages received and processed through the Ominigo service. This information may include message content, sender information, timestamps and information necessary to process the conversation.

We only begin receiving and storing WhatsApp conversation data after you connect your WhatsApp account or business messaging channel to Ominigo.

Appointment and booking information

Ominigo may store appointment information such as customer details, service selected, staff member, appointment date and time, booking status and other information required to manage appointments.

Payment information

Payments may be processed through third-party payment providers, including Stripe. We do not intend to store your complete payment card details on Ominigo's servers. Payment providers may collect and process payment information according to their own privacy policies.

Technical information

We may collect technical information such as IP address, browser type, device information, operating system, log information and information about how you interact with Ominigo.

3. How We Use Information

We use information to:

  • • Create and maintain your Ominigo account.
  • • Provide AI-powered customer communication.
  • • Process appointment and booking requests.
  • • Manage services, staff and availability.
  • • Provide and improve the Ominigo platform.
  • • Monitor system performance and security.
  • • Prevent fraud, abuse and unauthorised access.
  • • Process payments and manage subscriptions.
  • • Respond to support requests.
  • • Comply with applicable legal obligations.

4. AI Processing

Ominigo uses artificial intelligence to understand customer requests, answer questions and assist with appointment booking.

Information required to process appointment and booking activity may be processed by third-party AI service providers that we use to operate Ominigo.

We do not intentionally provide third-party AI providers with your entire stored WhatsApp conversation history solely for the purpose of maintaining appointment history.

After an appointment is completed, information relating to that appointment may be retained as appointment history and may be processed where necessary to provide Ominigo's services.

We do not use your WhatsApp conversations to create or sell advertising profiles.

5. WhatsApp Data

If you connect WhatsApp to Ominigo, messages received through the connected WhatsApp channel may be stored on Ominigo's systems.

This information is used to operate the AI assistant, provide conversation history where applicable, process customer requests and support appointment workflows.

We are also developing controls that allow businesses to delete stored conversations. When a conversation is permanently deleted through an available deletion feature, it will be removed from Ominigo's active systems, subject to limited copies that may need to remain temporarily in backups or where retention is required for legal or security reasons.

6. Sharing Information

We do not sell your personal information.

We may share information with trusted service providers when necessary to operate Ominigo. These providers may include:

  • • Cloud hosting and database providers.
  • • Payment processors.
  • • AI service providers.
  • • WhatsApp or Meta services required for messaging.
  • • Security, monitoring and infrastructure providers.

We may also disclose information where required by law, legal process, court order, or where reasonably necessary to protect Ominigo, our customers, users or the public.

7. Data Retention

We retain information for as long as reasonably necessary to provide Ominigo and fulfil the purposes described in this policy.

If you request permanent deletion of your Ominigo account, we currently intend to remove your account and associated customer data from our active systems within 30 days of the deletion request.

Some information may remain for a limited period in backups, security logs or records that we are legally required to retain. Such information will not be used for ordinary business purposes once the account has been deleted.

We may retain limited transaction or financial records for as long as necessary to meet accounting, tax, fraud-prevention or legal requirements.

8. Your Data and Your Customers' Data

If you use Ominigo for your business, you may provide personal information about your own customers to the platform.

In those circumstances, you are responsible for ensuring that you have the appropriate rights, permissions and notices required to collect and use that information through Ominigo.

Ominigo provides the technology to process this information but does not determine the purposes for which your business collects customer information.

9. Security

We use reasonable technical and organisational measures designed to protect information against unauthorised access, alteration, disclosure or destruction.

However, no internet-based service can guarantee absolute security. You are responsible for protecting your account credentials and for notifying us if you believe your account has been compromised.

10. Cookies and Similar Technologies

Ominigo may use cookies and similar technologies necessary for authentication, security, preferences, analytics and improving the service.

You may be able to control cookies through your browser settings. Disabling certain cookies may affect parts of the Ominigo platform.

11. Third-Party Services

Ominigo may integrate with third-party services such as WhatsApp, Meta, payment providers, cloud infrastructure providers and AI providers.

These services have their own terms and privacy policies. Ominigo is not responsible for the privacy practices of third-party services outside our control.

12. Account Deletion

You may request permanent deletion of your Ominigo account by contacting us at [email protected].

Once a deletion request is confirmed, we will begin the account deletion process described in this Privacy Policy.

13. Changes to This Policy

We may update this Privacy Policy from time to time as Ominigo develops, our services change, or legal requirements change.

When we make material changes, we may provide notice through the Ominigo website, application or by email where appropriate.
